MEMORANDUM

To:

 Agency Payroll Personnel

From:

Gary Reardon, Director of Payroll Services

Date:

 September 3, 2003

Subject:

Payroll Schedule for Last MSA Pay Check

The bi-weekly, semi-monthly and monthly checks dated October 31,2003, and the special monthly check dated November 7, 2003 will be the last checks processed from the MSA payroll system.

This memo will provide you with the processing schedule and payroll deadlines for those check dates.

It is imperative that all agencies closely adhere to this schedule. Failure to do so will jeopardize the conversion of the MSA masterfile data into the Core-CT system.

There will be NO extensions granted. These dates will NOT be changed.

Agencies should begin planning for how they will be able to accomplish this processing schedule within the time frame allowed.

TRANSFERS:

HR transfers from October 3, 2003 - October 16, 2003 will occur in MSA. Transfers are due in Central Payroll by Tuesday, October 14, 2003.

HR transactions from October 17, 2003 - October 30, 2003 will occur in Core-CT and will at that time be the responsibility of the Human Resource unit within your agency.

REVERSALS/CASH RECOVERIES:

Check reversals/cash recoveries should be up to date. MSA checks that need to be reversed once we convert to PeopleSoft must be done manually. Agencies who delay processing their MSA reversals and cash recoveries are risking their employees receiving an incorrect W-2 requiring a W-2c in January. October 17, 2003 checks to be reversed must be in Central Payroll by Thursday, October 16, 2003.

ON-LINE AGENCIES:

Maintenance transactions are due in Central Payroll by Thursday, October 16, 2003 by 7:00 pm. On-line agencies who try to process maintenance transactions after that date, will need to repeat those transactions in the Core-CT system the following pay cycle. They will not be processed in time to convert to the Core-CT system. They will, however, be processed in MSA for the October 31, 2003 check.

ZT transactions are due in Central Payroll by Tuesday, October 21, 2003 by 5:00 pm. The Central Payroll Auditors will begin auditing and correcting ZT transactions on October 21. All ZT's must be complete and corrected by October 22, 2003.

REMOTE JOB ENTRY AGENCIES:

Remote Job Entry agencies must have their files transmitted to Central Payroll by Thursday, October 16, 2003 for all maintenance transactions and by Monday, October 20, 2003 for all ZT transactions. ZT transactions may be included on the October 16 file but will not be processed by Central Payroll until October 20.

PETTY CASH:

Petty Cash will be available for regular pay only.

The basic MSA masterfile will be released to conversion on October 17, 2003. The MSA month, quarter, and year-to-date balances will be released to conversion on October 23, 2003.
