TO THE HEADS OF ALL STATE AGENCIES

Attention:   Chief Administrative and Fiscal Officers, and Business Managers
Subject:   Rebate of Environmentally Preferred Disposal of Certain Surplus Electronic Office Equipment

I. PURPOSE

The purpose of this memorandum is to notify agencies of a new rebate for the disposal of certain electronic office equipment. All computer and/or electronic equipment deemed no longer useable must be recycled in an environmentally appropriate manner per Regulation of Connecticut State Agencies Sec. 22a-449(c)-113.

II. REBATE

The new contract for the environmentally preferred disposal of certain surplus electronic office equipment, contract number 11PSX0333, requires the vendor to issue a rebate to an agency within thirty (30) days from the day the vendor picks up the equipment. To receive the rebate, the agency must have more than twenty (20) pieces of surplus electronic equipment to be removed. If the vendor picks up less than twenty (20) pieces of surplus electronic equipment, the agency shall not incur a rebate. The vendor will provide an inventory report at the time of pickup.
 
The accounting string to record the deposit of the rebate will be as follows:

III. REQUIREMENTS

The vendor is required to send the agency a check within thirty (30) days from the day of pickup. Agencies need to assure that a rebate check is received for the items picked up by the vendor. This can be accomplished by tying the rebate checks received to the Department of Administration Services Property Distribution Center scrap ticket, the Core-CT EPM query CT_CORE_FIN_AM_CO59_NEG_DETAIL and the inventory list provided by the vendor at the time of pickup.
